AI Assistant & Portal Conversations

Our client portal includes an AI assistant that builds and edits your website from your instructions. To provide and improve this feature:

• Your conversations with the assistant — the messages you send, any files you upload, and the changes made to your site — are stored in your account.
• These messages are processed by our AI provider (Anthropic) to generate and apply the changes you request. To make changes, the assistant may also access the services connected to your project — for example your website's code repository, and a read-only view of your database structure — through secure, per-project credentials that are never shown back to anyone.
• We review portal conversations and generate summaries of them — including automated daily summaries — to operate the service, diagnose and fix issues, and improve the assistant. We do not sell your conversations.
• If your account is managed by a developer or partner on your behalf, that developer can access your project's conversations, activity, and daily logs in order to build and support your website. That access follows the project until it is handed off to you.

Third-Party Services We Use

We use the following third-party services to operate our business:

Domain and Email

• Vercel: domain registration and DNS for client sites
• Namecheap: our own domain and private email hosting

Website Infrastructure

• Vercel: website hosting
• GitHub: source code repository management

AI Assistant

• Anthropic (Claude): Powers the portal AI assistant that builds and edits your website. Anthropic maintains its own privacy policy.

Data Storage and Authentication

• Supabase: Client portal authentication, user data, and project tracking
• Airtable: Client data management and administration

Payment Processing

• Stripe: Payment processing (Stripe maintains its own privacy policy regarding payment information)

Analytics & Performance

• Vercel Analytics & Speed Insights: privacy-friendly, cookieless traffic and performance measurement
• Google PageSpeed Insights: performance and quality scoring of websites

Security & Reliability

• hCaptcha: bot protection on our forms
• Upstash: rate limiting to protect our services (processes IP addresses transiently)
• Sentry: error monitoring and diagnostics

Business Information Lookups

• Google Places: public business information (name, address, ratings) used by our website-scoring tool and to prepare demonstration sites

Email and SMS Communications

• Resend: Transactional email delivery
• Nextiva: our business phone and messaging line; any text messages we send you are sent through it (with your consent)

These third-party services may have access to your personal information only to perform specific tasks on our behalf and are obligated to protect your information.

SMS Communications

If you opt-in to receive SMS messages from Web Launch Academy:

• We will send service updates, reminders, and account notifications
• Message frequency varies (typically 2-8 messages per month)
• Standard message and data rates may apply
• You can opt-out at any time by replying STOP
• We store your phone number, consent timestamp, and consent status in our databases

SMS Data Sharing and Third-Party Use

We do not sell, rent, or share your SMS opt-in data (phone numbers or consent records) with third parties for marketing purposes.

Your phone number and SMS consent information are used solely by Web Launch Academy to:

• Send you service-related communications
• Deliver the services you've purchased
• Communicate directly with you about your account

We use Nextiva as our SMS service provider to deliver text messages. This provider has access to your phone number only to perform messaging services on our behalf and is contractually obligated to protect your information and not use it for any other purpose.

Your SMS consent data is never sold to marketers, advertisers, or any other third parties.

Data Security

We implement appropriate technical and organizational security measures to protect your personal information, including:

• Secure authentication through Supabase
• Encrypted data transmission (SSL/TLS)
• Secure payment processing through Stripe (PCI-DSS compliant)
• Access controls and authentication requirements
• Regular security assessments

However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your personal information for as long as necessary to:

• Provide our services to you
• Comply with legal obligations
• Resolve disputes
• Enforce our agreements

Specific periods that apply today:

• Account deletion: when you request deletion, your account is archived for a reversible 30-day window (logging back in cancels it); after that it is permanently deleted.
• Website analytics: individual visit events are kept for up to 90 days, then reduced to anonymous daily totals.

After your build or service ends, we may retain certain information for records and to support your website going forward. You may request deletion of your data by contacting us.

Business Contact Information & Outreach

We sometimes reach out to local businesses that may benefit from a website. To do this, we collect publicly available business contact information (such as a business name, owner name where public, phone number, email, and address) and may prepare a demonstration website to show what we could build.

We use this information only to contact the business about our services, and we do not sell it. If you would prefer we not contact you or that we delete the information we hold about your business, email hello@weblaunchacademy.com and we will remove you.

Your Privacy Rights

Depending on your location, you may have the following rights:

• A referral cookie that remembers if you arrived through a referral link, so credit is applied correctly.

Our website analytics are cookieless — they do not use cookies, browser storage, or cross-site tracking, and do not build advertising profiles. We do not use third-party advertising cookies.

You can control or clear cookies through your browser settings; blocking essential cookies may prevent you from staying logged in.

Children's Privacy

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.
